Privacy Policy — Monster Bookkeeping

1. Introduction

Monster Bookkeeping (ABN: 67 658 966 397) (we, us, our) is committed to protecting the privacy and confidentiality of personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Tax Agent Services Act 2009 (Cth), and the Tax Practitioners Board (TPB) Code of Professional Conduct.

This Privacy Policy explains how we collect, use, hold, disclose, and protect personal information in the course of providing bookkeeping, payroll, financial reporting, and BAS agent services.

2. What Personal Information We Collect

We may collect the following types of personal information:

Client and Contact Information:

Full name, trading name, and ABN/ACN

Residential and business addresses

Email addresses and phone numbers

Date of birth (where required for identity verification)

Financial and Tax Information:

Tax File Numbers (TFNs) — collected only where lawfully required

Bank account and payment details

Business income, expenses, and financial records

Payroll and employee information (where payroll services are engaged)

BAS and tax lodgement data

Website Visitors:

IP addresses and browser information (via cookies)

Contact form submissions

General enquiry details

We only collect personal information that is reasonably necessary to provide our services.

3. How We Collect Personal Information

We collect personal information:

Directly from you through our website contact forms, client intake forms, and email

Through signed engagement letters and service agreements

From the Australian Taxation Office (ATO), ASIC, or other government agencies in the course of providing services

Through accounting and bookkeeping software platforms (including Xero, MYOB, and similar)

Through referrals from third parties with your consent

We will notify you at or before the time of collection what information is being collected and why (in accordance with APP 5).

4. Tax File Numbers (TFNs)

We are authorised to collect, use, and disclose TFNs only as permitted under the Privacy (Tax File Number) Rule 2015 and the Income Tax Assessment Act 1936 (Cth). We will:

Handle TFNs securely using encrypted file transfer, password-protected documents, or secure client portals

Never record TFNs on documents or files where they are not legally required

Restrict access to TFNs to authorised personnel on a strict need-to-know basis

Never disclose a TFN to a third party without your consent, unless required by law

5. How We Use Personal Information

We use personal information to:

Provide bookkeeping, payroll, financial reporting, and BAS agent services

Prepare and lodge BAS statements, tax returns, and other ATO submissions on your behalf

Comply with our legal obligations under the Tax Agent Services Act 2009 and related legislation

Communicate with you about your account and our services

Send invoices and process payments

Maintain accurate financial and business records

Improve our services and respond to enquiries

We do not use your personal information for direct marketing without your express consent.

6. Disclosure of Personal Information

We treat all client information as strictly confidential in accordance with Code item 6 of the TPB Code of Professional Conduct.

We will only disclose your personal information to third parties in the following circumstances:

With your consent — for example, disclosing information to a financial institution, legal adviser, or another service provider you have authorised

Government and regulatory bodies — to the ATO, ASIC, the TPB, or other regulatory authorities where we are legally required or authorised to do so

Service providers — to trusted third-party software and technology providers (including cloud accounting platforms such as Xero) under strict confidentiality and data processing arrangements

Legal requirements — where disclosure is required or authorised by Australian law

We do not sell, rent, or trade your personal information to any third party.

Overseas disclosure: Some of our software providers (including cloud storage and accounting platforms) may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure those providers maintain privacy standards consistent with the APPs. By using our services, you consent to this transfer where it is necessary to deliver those services.

7. How We Protect Your Information

We implement reasonable technical and organisational measures to protect personal information from misuse, loss, unauthorised access, modification, or disclosure. These measures include:

Encrypted file transfer for sensitive documents (including TFNs)

Secure, password-protected client portals

Access controls limiting information to authorised personnel only

Regular cybersecurity training for staff

Secure disposal of physical and electronic records when no longer required

8. Data Retention and Destruction

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, or as required by law (including ATO record-keeping obligations of generally 5 years from the date of the relevant transaction or lodgement).

When personal information is no longer required, we will take reasonable steps to securely destroy or de-identify it.

9. Access and Correction

You have the right to request access to the personal information we hold about you, and to request corrections if the information is inaccurate, incomplete, or out of date (in accordance with APPs 12 and 13).

To make a request, please contact us using the details in Section 11. We will respond within a reasonable time (generally within 30 days). In limited circumstances, we may decline a request where permitted by law, and we will provide written reasons if this occurs.

10. Privacy Complaints

If you believe we have mishandled your personal information, or that we have breached the APPs or our obligations under the TPB Code of Professional Conduct, please contact us in the first instance using the details in Section 11. We will acknowledge your complaint within 5 business days and endeavour to resolve it within 30 days.
